Removed before anything leaves
Every identifier goes: names of clients, patients, policyholders, employees and contacts; phone numbers, emails and addresses below state level; account, claim, policy, chart, licence, plate and case numbers; absolute dates; your company's name and anything that would single it out.
Never enters our systems
Card numbers, bank details and credentials are excluded from every licence automatically.
Anything you list
Specific clients, matters, mailboxes, folders, date ranges or whole systems, written into the licence and enforced by hash before ingestion.
Health records
HIPAA Expert Determination by a qualified expert, and a Business Associate Agreement with any covered entity before we touch protected health information.
Kept, because it is what a model learns from
Amounts, balances and fees. Procedure, diagnosis, tax, legal and industry codes. Statuses and outcomes. The order of events and the time between them. The text of the work, with names and identifiers replaced.
Dates shifted, intervals kept
Every date moves by the same offset per entity, so how long a claim took to pay is exact and when it happened is gone.
You review a sample
Before delivery you see a de-identified sample and the method document for your dataset.
The export is our work
We run it with you or your IT provider, using each system's own export tools or read-only access issued for the purpose and revoked afterwards. Nothing is installed on your systems and we retain no access.
Closed or closing
Hosted software purges data thirty to ninety days after a subscription lapses. If you are closing, contact us before cancelling anything.
Payment
In full, by wire, within two to four weeks of the export completing. Operating businesses can choose a renewal for updates.
